Immigration Documents Controller

The Role

Documents Controller is an individual contributor reporting directly to the direct reporting supervisor. The responsibilities include day-to-day liaison with clients and internal stakeholders at all levels, under the supervision of the direct reporting supervisor. The incumbent will be exposed to full range of Singapore immigration work, especially on filing Permanent Residence (PR) and Citizenship applications. This role is responsible for developing and maintaining a strong knowledge of the Singapore inbound immigration regulations and policies and are able to effectively use this knowledge to offer a high-quality service adapted to our clients’ needs. This role can lead to positions of increasing responsibilities and satisfaction.

Key Responsibilities
  • Manages the day-to-day relationship with clients and key stakeholders in their Singapore immigration application processes.
  • Organizes, drafts and reviews immigration application packages.
  • File Long Term Visit Pass (LTVP), Permanent Residence (PR) and Citizenship applications to the Immigration & Checkpoints Authority (ICA)
  • Liaises with various government agencies (MOM / ICA / EDB / etc.) on progress / delays / hiccups, whenever required.
  • Liaises with Third Party Vendors
  • Supports clients’ queries and completion of formalities during preparation of documents, processing of application and post-outcome of application, through gaining intimate knowledge of each case.
  • Read and keep yourself updated on latest information relating to Singapore immigration matters.
  • Liaises with clients for collection of documents or handing over of their application packages.
  • Manages clients and documents databases.
  • Meeting monthly KPIs set by the Management.
  • Updates and prepares reports for Management.
  • Assist in any other general administrative work.
Qualifications & Experience
  • Diploma / Advanced / Higher / Graduate Diploma in any field
  • Proven experience in a related Government agency, i.e., Immigration & Checkpoints Authority (ICA) or Ministry of Manpower (MOM), or in a document procurement and immigration application business, handling a broad clientele range (preferred)
  • Able to plan workload often with deadlines, able to meet deadlines and priorities for own work, taking into client delivery expectations and client service standards.
  • Self-starter with great attention to detail
  • Ability to produce clear, well-organized documents with excellent written communication skills and able to effectively express oneself verbally in an articulate manner.
  • Language skills: Fluency in English and Mother Tongue, other languages are advantageous.
  • Required computer skills: Microsoft Office, Adobe PDF
  • Singapore Citizens / Permanent Residents only

The Role

Keep abreast with policies, requirements and present the best options to clients/corporate offices that in turn convert prospects into clients.

Duties
  • Contacting leads to set up appointments for onsite and offsite consultations.
  • Maintaining business relationships with clients
  • Performing presentations to prospective clients
  • Responding to queries timely and in a professional and efficient manner
  • Preparing monthly performance reports
  • Managing clients’ expectations and providing sound advisory
  • To attend various networking events organized from time to time.
  • Assist in propagating the Brand and forging new collaborations.
Qualifications & Experience
  • Minimally a Diploma in any field
  • Proven experience in a previous sales role (optional)
  • Good communication and writing skills.
  • Self-motivated to hit reasonable and attainable sales targets.
  • Language skills: Fluency in English and Mother Tongue, other languages are advantageous.
